A meeting can feel clear while everyone is in the room, then blur once the day moves on. A brief written record helps you remember what was decided and what needs attention next. Keep it practical: note the outcome, one next action, and who will follow up.
Write the outcome first
Start your note as soon as practical after the meeting, while the discussion is still fresh. Use plain language and record decisions that were actually made, rather than every idea that came up. If something remains uncertain, label it as an open question so a possibility does not get mistaken for an agreement.
- Add the date and a short topic label.
- Write each confirmed decision in one sentence.
- Mark unresolved points as questions or pending items.
Make the next action concrete
A useful action tells you what to do, not just what the group discussed. Keep the wording small enough to understand at a glance, and include a person responsible for following up. If no owner or timing was agreed, record that honestly rather than assigning one by assumption.
- Begin with a clear verb, such as review, send, or confirm.
- Name the agreed follow-up person.
- Add a due date only when one was agreed.
Keep the note easy to find
A short record only helps if you can return to it. Put it with your other meeting notes in a consistent place, using a title that will make sense later. Before you move on, scan the note for missing owners or unclear wording, and keep personal or sensitive details to the minimum needed.
- Use a consistent date and topic in the title.
- Keep the note with related records.
- If recording audio, get permission before recording; a written summary may be enough.
The useful meeting note is not a transcript. A few accurate lines about the decision, next action, and follow-up person can make it easier to resume the work later.
Some tools require a plan, an allowance or an explicitly chosen rewarded video. AI and account services require internet access and process selected content remotely. Obtain permission before recording. AI results can contain errors; review before use. Check current plan details in Google Play and in the app.
